How to get more Google reviews and answer every one with AI

Ask every happy customer with one short link, and let AI draft a reply to every review so none sit unanswered. Here's the whole system, with the prompts, and what Google doesn't allow.

To get more Google reviews, ask every customer, right after a good experience, with a direct link that opens the review form in one tap. Then answer every review, good or bad, within a few days. AI makes the second part easy: ChatGPT or Claude drafts the reply, you read it and post it.

That’s the whole system. The rest of this guide is how to set it up in an afternoon.

Why Google reviews matter so much for a small business

When someone on the East Side searches “gorditas near me” or “roofer El Paso”, the map at the top of Google is the first thing they see. Your star rating, how many reviews you have and how recent they are sit right next to your name. Many customers decide from that box alone and never open your website.

Reviews also answer questions for you. “Do they speak Spanish?” “Is parking easy?” “Is it worth the wait?” Your customers write it better than you could.

A real example: Gorditas Express in Ciudad Juárez

We built the website for Gorditas Express, which has six locations in Ciudad Juárez and more than 5,000 Google reviews between them. Each location on their site has its own Dejar reseña button that opens the Google review form for that exact branch, right next to Llamar and Pedir en DiDi.

That detail matters. A customer at the Plaza Monumental location reviews Plaza Monumental, not a different branch across town. If you have more than one location, give each one its own link.

  1. Search your business name on Google while signed in to the account that manages it, or open the Business Profile app.
  2. Choose Ask for reviews (on some profiles it’s Get more reviews).
  3. Copy the short link. If you see a QR code option, download it too.

No QR code option? Paste your link into any free QR code maker. Scan it with your own phone before you print anything.

Step 2: Ask at the right moment

The best time to ask is right after the good part: the food came out hot, the job passed inspection, the shuttle got them across the bridge on time. Ask everyone the same way. A few places to put the link:

  • A card at the counter or register with the QR code. “Did we get it right? Tell Google.” The kit below has one ready to print.
  • A text or WhatsApp message the same day: “Thanks for coming in today. If you have a minute, a review helps us a lot: [link]”
  • The receipt, the invoice email and the delivery bag.
  • Your website, next to your phone number and address, like Gorditas Express does.

Step 3: Reply to every Google review with AI

Replying shows future customers that someone is paying attention. It also turns a bad review into a chance to show how you handle problems. The trouble is time. This is where ChatGPT or Claude helps.

The prompt

Paste this once, then paste each new review below it:

You help me reply to Google reviews for [business name], a [type of business] in [city]. Write like the owner: warm, short, plain words, no corporate language. Reply in the same language as the review, English or Spanish. Thank the person by first name, mention one specific thing they said, and keep it under 60 words. If the review is negative, apologize once, don’t argue, and invite them to contact [phone or email]. Never mention order details, prices paid or anything private. Here is the review: [paste review]

How to handle each kind of review

  • Five stars: thank them, mention the dish or the job they named, invite them back. Two or three sentences.
  • Three stars: thank them, take the criticism seriously in one line, say what you’re doing about it if it’s true.
  • One star: don’t argue in public. Before you ask AI for a draft, write down what really happened, because the facts have to come from you. Apologize once, give a direct way to reach you, and stop there.

Always read the draft before you post it. If AI wrote something you wouldn’t say at the counter, change it. And keep deals and promotions out of your replies: Google’s own tips for replying ask owners not to use them that way.

Step 4: Let an AI agent read your reviews every week

An AI agent is an assistant that does the same job on a schedule, with your instructions already saved. For reviews, the simplest version takes five minutes a week:

  1. Create a project in Claude (or a custom GPT in ChatGPT) and save the reply prompt above as its instructions.
  2. Once a week, copy your new reviews from your Business Profile and paste them in.
  3. Ask for two things: a draft reply for each review, and a short summary of what customers keep mentioning.

The summary is the part owners like most. After a few weeks it shows you patterns you can act on: the same complaint about wait times on Saturdays, the dish everyone names, the employee people keep thanking. That’s free customer research.

What Google doesn’t allow

These get reviews removed, and some can get your profile suspended:

  • Rewards for reviews. No discounts, free drinks or raffle entries in exchange for a review, even for a five star one.
  • Asking only happy customers. Picking who gets the link, or sending unhappy customers somewhere else first, is called review gating. Ask everyone.
  • Reviews from you, your family or your staff.
  • Fake or bought reviews, including ones written by AI. In the US, the FTC’s rule on fake reviews lets it fine businesses that buy them.
  • Reviews written for a customer. AI drafts your replies. It never writes reviews.

Questions

How do I get my Google review link?

Open your Business Profile on Google Search or Google Maps while signed in and choose Ask for reviews. Copy the link, or download the QR code if your profile shows one. Customers who open it land right on the review form.

How do I make a QR code for Google reviews?

Use the QR code from Ask for reviews in your Business Profile, or paste your review link into any free QR code maker. Print it on a small card for the counter, the receipt or the delivery bag, and scan it once yourself before you print a stack.

How should I respond to Google reviews?

Reply to every review, good or bad, within a few days. Thank people by name, mention something specific they said, keep it short, and take any problem offline with a phone number or email. Never share order details or anything private.

Can I use AI to reply to Google reviews?

Yes. ChatGPT or Claude can draft the reply in your voice and in the customer's language. A person should read every reply before it's posted, and the facts (what happened, what you'll do) have to come from you.

Can I offer a discount for a Google review?

No. Google removes reviews that were paid for or rewarded, and in the US the FTC can fine businesses for buying reviews. Ask everyone, offer nothing in exchange, and let the reviews be honest.

Is it okay to only ask happy customers for a review?

Google doesn't allow it. Picking only happy customers, or sending unhappy ones somewhere else first, is called review gating and is against its rules. Ask everyone the same way.
